Asset Management Record Keeping Inquiry

This forum is for discussing concepts, practices and procedures related to the field of property management. Asset Management Record Keeping Inquiry

As a research exercise for the IRWA Chapter 31 Asset Management Committee, I am interested in finding out the different methods companies and government agencies use to track their real property assets and what information about the real property assets is kept.

I would like to know if you use a specialty computer program and which one, Microsoft Office spreadsheets (Excel, word, etc.), or any other methods and how effective, easy to use they are. Also, I am interested in the type of information that is maintained about the real property asset such as the date purchased, purchase price, current value, disposition (surplus to be kept and maintained or surplus to be disposed of), numbering system, etc...

As with most companies, there are multiple inventory systems used at CenterPoint Energy in Houston to track our assets. We utilize our GIS system extensively as well as FileNet. Within the Surveying & Right of Way Division we also utilize a database that is parcel based and a database that is job file based. The two databases tie together based on the parcel number.

We are also in the process of accepting RFP's to replace both databases.

In any event, the absolute base of any asset management tracking system is the basic property inventory.

I am also looking for informaiton on any court cases to remove encroachments and trespasses.
